GPT for Coaches

As football coaches, your time is often stretched thin between practices, games, meetings, and endless behind-the-scenes responsibilities. With all of the administrative tasks and communication needs that come with coaching, wouldn’t it be helpful to have an assistant that could handle some of the repetitive work? This is why we need GPT for Coaches. Enter ChatGPT—a powerful AI tool that can help streamline many of your daily tasks, allowing you to focus more on the aspects of coaching that you love. Here’s how you can use ChatGPT for things beyond play design and strategy.

1. Writing Letters to Parents

One of the most common communication tasks for football coaches is keeping parents in the loop. Whether it’s sending updates on practice schedules, upcoming games, or general team news, keeping parents informed is essential. But writing these letters can take time, especially when you need to ensure that every message is clear, professional, and personalized.

ChatGPT can help you quickly draft emails or letters to parents, saving you time while maintaining a positive tone. For example, if you need to inform parents about a change in the schedule or remind them about an upcoming fundraiser, simply provide ChatGPT with a few details, and it will generate a polished message for you. This can also be handy for addressing more serious matters, such as player behavior or academic progress.

2. Planning a Post-Season Banquet

After a long season, the post-season banquet is an important event where you celebrate your players’ achievements and reflect on the season’s highs and lows. But planning a banquet involves a lot of details: drafting invitations, creating speech notes, writing thank-you letters for volunteers, and more.

ChatGPT can assist you with all these tasks. From drafting a heartfelt invitation to writing an inspiring speech to help you express your gratitude toward players, coaches, and supporters, ChatGPT’s versatility means you can focus on the big-picture planning while it handles the details. You can even generate thank-you notes for sponsors, volunteers, and supporters who helped make the season a success.

3. Writing Thank You Letters to Donors

Donors play a crucial role in supporting your football program, and expressing your appreciation is vital to building lasting relationships. Whether it’s a local business that sponsored your team or an individual who made a personal donation, a thoughtful thank-you letter can go a long way in showing your gratitude.

With ChatGPT, you can easily generate personalized thank-you letters for donors. By providing a few key details—such as the donor’s name, the amount of the donation, and how it was used—you can have a letter that is professional and warm in no time. This can free up more time for you to focus on building relationships with those who support your team.

4. Writing Customized Notes to Recruits

Recruitment is an essential part of building a successful football program, and personalized communication with recruits is a key element in building rapport. Writing individual notes to every recruit, especially when you’re managing a large group, can be time-consuming.

ChatGPT can help streamline this process by generating personalized recruitment letters based on the details you provide, such as the recruit’s name, position, and achievements. You can even customize the tone of the letter—whether you want it to be formal, enthusiastic, or motivational—to match the culture of your program. By using ChatGPT to draft these letters, you can reach out to recruits more efficiently and effectively.

Conclusion

Football coaches have a lot on their plate, but with tools like ChatGPT, many of the repetitive communication tasks can be automated and streamlined. From writing letters to parents and thanking donors to planning a banquet and connecting with recruits, ChatGPT can save you time and effort—allowing you to focus on what matters most: coaching your team to success.

Note that this blog post above was written by the help of ChatGPT as you can tell by the constant references to ChatGPT. There are many other GPT (Generative Pre-trained Transformer) type tools that are out there for you. ChatGPT is from OpenAI and you can get a free version for yourself by hitting this URL and then signing up. You can easily link to your gmail account so it is easy to get back into.

Google itself has a GPT product called Gemini. You can get to it once you have logged into your gmail account with this URL. It will look like this…

If your school is a Microsoft Shop with Outlook email you might have access to CoPilot. It will show up in your Apps and with a URL like this. The screen will look like this.

The reason why I bring all of this up is that I really want to help save you time. Coaches are busy and if we can find ways to save time and to gather new ideas lets dive in. AI and GPT and Agents and Prompts are all new and a bit scary and a bit confusing. But for now, if this is all new to you, just think if this ‘GPT’ stuff as a way to generate really great starter text/content for you. It will give you a great outline and probably will add something in there that your would have forgotten.

Here is an example of a GPT eye-opener.

Recently I spoke with someone who was in charge of work-out programs for a college program. I asked him if he had used any GPT technology before. He had not, so I asked him to try something for me. I showed him how to go to ChatGPT and log in. I then asked him to type in something like…

‘Prepare for me an eight week training program for the soccer team. I want there to be a balance in strength and endurance training. Please limit the training to 5 days a week and 2 hours per day. Please add in some group and fun exercises to make this training program enjoyable.’

ChatGPT wrote out a complete example training program for both weight room exercises and on the field cardiovascular training. Some of the games were ‘Sharks and Minnows’ and ‘Capture the Flag’ so in our prompt above we changed it the next time to be about college athletes. That is an important part of GPT functionality that if you did not get what you wanted the first time, just tweak your input (your ‘prompt’) a bit and try again. You also do not have to type in everything again because it is going to retain the context of your conversation. With Google Searches you start over every time. With GPT the tool will remember your conversation.

Your GPT tool may also add in some ideas about diet and sleep needs to support such a routine. You may have not written about that in your prompt but the research might show that correct diet and sleep might be just as important as the work-outs themselves.

Of course what was output was not perfect for what this strength coach needed. But that outline created by ChatGPT was probably 80% of what he needed to get started and it gave him some new ideas.

That is what it is about. This GPT/AI stuff is not replacing you as a Coach or Trainer. It is giving you new tools to take care of your players and to help them reach their potential. Go ahead and try it out. I promise you that you will be surprised by the time it can save you and by the ideas it can generate for you.
